Office Manager

San Francisco, CA
Part Time to Full Time
Experienced

We’re a small California real estate law firm seeking an office manager to keep case-related assignments and firm projects moving. You’ll work directly with the principal attorney and coordinate across attorneys, paralegals, and legal assistants. The position starts part-time, with the potential to grow to full-time as the firm’s needs evolve.

What you’ll do

  • Maintain a shared task tracker so every assignment has a clear owner, due date, status, and next step. Make it easy for the team to see what’s open, what’s waiting on someone else, and what’s complete.
  • Review open assignments each workday and follow up directly with the person responsible before deadlines slip. Confirm that the work was delivered and that any required review or handoff took place before closing the task.
  • Coordinate handoffs among attorneys, paralegals, and legal assistants. Identify missing information, approvals, and workload conflicts, and bring time-sensitive issues to the principal attorney with a clear next step.
  • Monitor internal milestones for litigation work, including draft preparation, attorney review, and filing or service handoffs. Coordinate with the responsible attorney, who retains responsibility for legal decisions and deadlines.
  • Run a brief weekly operations meeting focused on priorities, upcoming deadlines, overdue assignments, and decisions needed. Give the principal attorney a short written update showing where intervention is needed.
  • Work with the principal attorney to set clear expectations for status updates and turnaround times. Flag recurring delays, help identify their causes, and coach the team on better handoffs and follow-through.
  • Document recurring workflows and train staff on the firm’s task management process so assignments stay visible when someone is out or priorities change.

What we’re looking for

  • Experience managing operations, coordinating projects, or supervising workflows in a law firm or other deadline-driven professional services setting. Litigation firm experience is preferred.
  • A track record of following up across levels of seniority with tact and persistence, including when an attorney’s review or decision is holding up the next step.
  • Strong written communication, sound judgment about when to escalate, and discretion with confidential client and personnel information.
  • Comfort using shared task trackers and practice management tools. Familiarity with Clio or comparable software is a plus.
